RESERVATION POLICY

 

We try hard to keep the rules to a minimum here at Timberlake motel, but alas, after 20 years welcoming visitors into our Motel, we have come to realize some things are simply out of our control. So we are posting our policies here so you can review them before arriving. Please take a moment to review these policies and hopefully we can avoid any "surprises."

1. GUEST CHECK IN:

Because we are a small Motel we try to keep the check in time to 1:00pm. Check out is 11:00am. We understand that flight schedules / or when you on road may not mesh with our check in time so please call us if you need to make special arrangements. We are happy to accommodate late arrivals but we request you let us know your anticipated arrival time. Also for directions please use our MAP/DIRECTIONS page some GPS are not helping very well for direction.

2. RATES:

All rates are based on Double Occupancy and Include a Breakfast, Each additional person in a room is $20.00 per night, please call ahead to ensure a roll away bed is available. All rates are subject to VA tax.

3. TAXES:

In VA sales tax is 5.3% and lodging tax is 2% but if the tax change after you made reservation guest has to pay the rate plus current sales and lodging tax.

4. RESERVATION DEPOSITS:

A 100% deposit is due at the time of booking. Any Deposits may be paid in cash (if you are already on site) or by credit card. We are not able to accept personal checks at this time. If you use a credit card to pay for your deposit, new credit card processing rules require us to see the card you used for the deposit when you arrive so that we can verify you are the actual card holder. So please bring the card you used for your reservation with you.

5. CANCELLATIONS:

We have a 24 hrs before your check in date cancellation policy. If you cancel your reservation prior to 24hrs check in date, your deposit will be returned to you. Late arrivals, no shows, cancellations, and rescheduling within 24 hrs of check in date will be charged for the 1st night of the reservation. This cancellation policy is firm and no exceptions will be made.

Now if you have more then 2 rooms or your reservation rate per day is more then $79 plus tax then it require to cancel/modification 28days before check in date. Late arrivals, no shows, cancellations, and rescheduling within 28days of check in date will be charged for the 1st night of the reservation.

This policy printed here supersedes any other cancellation policies. * Reservations made via Expedia and Travel Agents, must be cancelled thru those sites accordingly.

Because Timberlake motel is small in room number, cancellations affect us significantly. We do not over-book or maintain "waiting lists" as large hotels do. You are guaranteed that your room will be available to you as long as you arrive on the first day of your reservation. We do enforce our cancellation policy. Otherwise, we expect you, as you expect us, to honor your reservation. If you are worried about having to cancel for any reason, we recommend you purchase travel insurance through a third party for your own financial protection.

6. THIRD PARTY BOOKING SITES:

Reservations made via Travel Agents & web sites such as Expedia, Hotels.com, priceline, Saber, GDS, etc, must be changed or cancelled by them. Do Not Call Us to Cancel Your Reservation. Our cancellation policy still applies, but is likely superseded by the cancellation policy of the booking source-please be aware that many third party booking sources have far more stringent cancellation policies than we do, but we are contractually bound to comply with their policy.

7. TRIP INSURANCE:

We do not sell trip insurance, But most experts agree that Travel Insurance including Trip Cancellation and Interruption Insurance is one of the smartest investments you will ever make. Please check with travel insurance provides if there is any concern regarding our cancellation policy or possible changes to your travel plans.

8. DISCOUNTS / NO REFUND:

Currently, any reservation specials for discounted room rates are listed on the reservation pages. Additional discounts do not apply to any website published reservation specials. If you wish to use a AAA or AARP (10%) discount, then that discount is applied to the regular room rates (also listed on the individual room web pages). Only one discount may be applied to each booking. Discounts must be requested at time of booking. No discounts are applied to reservations made through travel agents. There is a 2-night minimum stay requirement for AAA & AARP.

 

MOTEL POLICIES

 

ADA POLICY

The motel is compliant with ADA. ADA compliant guest rooms are available upon advance request.

AGE REQUIREMENT POLICY

Guests must be 21 years or older with government photo identification to reserve and check-inn a room.

CHECK POLICY

Personal Checks are not allowed. Guest with traveler check present valid identification.

EARLY DEPARTURE POLICY

Departure dates are confirmed during check-in. Guests departing prior to their scheduled departure date will incur a charge of one day's room rate plus tax. After 12 pm on departing day if guest still in room will be charge for additional night.

EARLY ARRIVAL POLICY

We are pleased to offer complimentary early arrival upon request and subject to availability. To guarantee early arrival, guests must reserve the room for the previous night, at the full room rate.

EXTRA BEDDING POLICY

The Rollaway Bed is available upon advance request and it will be $20.00 per night. LATE CHECKOUT POLICY

We are pleased to offer late checkout upon request and subject to availability. Late checkout is complimentary until 12pm. Between 1pm and 4pm, a fee of 56 USD applies. After 4pm guests are charged 100% of the nightly room rate.

PET POLICY

Please leave your pet at home. Even small pets are not allowed at the Timberlake motel. This is for the safety of other guests’ as well as to accommodate the large number of guests we get who are allergic to animals and their dander. If you have a service animal please call the Timberlake motel prior to your arrival to make arrangements for your service companion. Service documentation will be required. Pets are not allowed in the pool area.

CREDIT/DEBIT CARD POLICY

Debit and Credit cards will be charged at check-in for the amount of your stay, plus an amount to cover incidentals. The authorization will hold the funds until check out, at which time the amount actually incurred during the stay will be charged. Authorized amounts may take up to 30 days after departure to be released by your bank or financial institution and the hotel will not be responsible for any resulting fees or charges.

SMOKING POLICY

All non-smoking rooms and public spaces, pool area are 100% non-smoking. A 250 USD cleaning fee will be charged to registered guest who violates the smoking policy.

 

PRIVACY POLICY

 

INFORMATION GATHERED:

The Timberlake Motel is committed to preserving your privacy online. When you visit our site, we collect two types of information from you:

1) Specific information you voluntarily submit and

2) General information our site gathers automatically.

If you email The Timberlake Motel for any reason, the information in your email will only be used by us to contact you directly. We will keep your information on file only for that purpose or for providing pre and post reservation service. We will never willfully disclose any individually identifiable information to any third parties without a user's specific permission to do so. We do not sell users' names or email addresses to other companies. We will only provide individually identifiable information to third parties only where law requires it.

* GENERAL INFORMATION WE GATHER

As you browse our Web site, we collect standard tracking data, which we use to evaluate site traffic and usage patterns. This information is aggregated with tracking data from all site visitors. It is never associated with individually identifiable information that would reveal anything personal about a user. We use such aggregated information to help us evaluate our site and to improve our services to clients.
